Terms and Conditions of Service
 
Epic Boilers (a trading name of Epic Services Group), based in Whitburn, Bathgate, Scotland.

1. Introduction and Acceptance of Terms
 
1.1. The Agreement: These Terms and Conditions (the "Terms") govern the provision of all Plumbing and Heating Services, including but not limited to Boiler Servicing, Boiler Installation, and Boiler Repair (the "Services") by Epic Boilers ("We," "Us," or "Our") to the customer ("You" or "The Customer").
1.2. Acceptance: By requesting a quote, booking, or accepting any of Our Services, You agree to be bound by these Terms.
1.3. Governing Law: These Terms and the provision of Our Services are governed by the laws of Scotland and are subject to the exclusive jurisdiction of the Scottish courts.
 
2. Quotes, Pricing, and Payment
 
2.1. Quotes: All quotes provided by Us are valid for a period of 30 days from the date of issue. Quotes are based on the information provided by You and may be subject to revision if the actual scope of work or site conditions differ significantly.
2.2. Fixed Price vs. Estimates: * Fixed Price: For Boiler Installation and standard Boiler Servicing, We typically provide a fixed price. * Estimates: For Boiler Repair and diagnostic work, We may provide an estimated cost. If the work exceeds the original estimate by more than 15%, We will seek Your prior approval before continuing.
2.3. Payment: Unless otherwise agreed in writing, payment is due in full immediately upon satisfactory completion of the Services. We accept payment via Apple Pay, Google Pay, Klarna, PayPal, bank transfer, credit/debit card.
2.4. Late Payment: We reserve the right to charge interest on overdue amounts at a rate of 8% above the Bank of England base rate, as permitted by UK law.
2.5. Deposits: For Boiler Installation jobs, a deposit of 25% may be required upon booking to secure the time and order materials.
 
3. Specific Service Terms
 
 

3.1. Boiler Installation
 
3.1.1. Scope: Our installation quote covers the replacement of an existing boiler with a new one in the same location unless specified otherwise. Any requirement for flue re-routing, significant pipework alteration, or condensate pump installation will be detailed and priced separately.
3.1.2. Powerflush: A powerflush is recommended for all new installations but may be charged separately unless explicitly included in the fixed price.
3.1.3. Warranties: We pass the manufacturer's warranty onto You. This warranty covers faults in the boiler unit only, not faults arising from external system issues (e.g., sludge, low pressure due to leaks). We will advise You on registering the warranty.
 
3.2. Boiler Repair
 
3.2.1. Diagnostic Fee: We charge a standard diagnostic call-out fee of £80 which covers the first hour of investigation and travel to your location. This fee is non-refundable.
3.2.2. Parts: We will seek Your approval for the cost of any parts required for the repair. Payment for parts may be required in advance.
3.2.3. Repair Guarantee: We guarantee Our repair workmanship for a period of 30 days. This guarantee covers the specific fault and parts repaired or replaced by Us only.
 
3.3. Boiler Servicing
 
3.3.1. Annual Service: The service will be carried out in accordance with the manufacturer’s instructions and the Gas Safe Register guidelines.
3.3.2. Faults: A standard service does not include the cost of parts or repairs required to fix any faults discovered during the service. We will provide a separate repair quote if a fault is found.
3.3.3. Access: You must ensure clear and safe access to the boiler, controls, and gas meter before Our engineer arrives.
 
4. Your Responsibilities
 
4.1. Access and Safety: You must grant Our engineers access to the property at the agreed time. You are responsible for ensuring a safe working environment, including removing obstructions and controlling pets.
4.2. Information: You must disclose any known or suspected defects or hazards relating to the plumbing, heating system, or property structure that may affect the Services.
4.3. Waiver: We are not liable for incidental damage to flooring, décor, or surrounding areas caused by necessary work (e.g., lifting floorboards, drilling through walls) provided We have exercised reasonable care.
 
5. Cancellation Policy
 
5.1. Cancellation by You: * Boiler Installation: If You cancel an installation with less than 48 hours’ notice, or after materials have been
ordered, Your deposit will be retained. * Servicing/Repair: If You cancel a service or repair booking with less than 24 hours’ notice, We reserve the right to charge the standard call-out or diagnostic fee.
5.2. Cancellation by Us: We may cancel or reschedule a booking due to unforeseen circumstances, including but not limited to engineer illness, vehicle breakdown, or extreme weather conditions. We will notify You as soon as possible and offer the next available date.
 
6. Liability and Guarantee
 
6.1. Limitation of Liability: Our liability to You is limited to the value of the service provided, except in cases of death or personal injury caused by Our negligence.
6.2. Guarantee: We guarantee Our workmanship to be free from defects for a period of 12 months from the date of completion, excluding faults arising from fair wear and tear, or defects in parts not supplied by Us.
6.3. Third Parties: We accept no liability for work carried out by third parties recommended by Us.
 
7. Data Protection and Complaints
 
7.1. Data Protection: We process Your personal data in accordance with UK Data Protection laws (including GDPR). Please see our separate Privacy Policy for full details.
7.2. Complaints: We aim to provide an excellent service. If You have a complaint, please notify Us in writing within 7 days of the work being completed. We will investigate the complaint and respond within 14 working days.
